Can I add stock to a booking?

Yes. Once the new Inventory is on, you can book stock by quantity alongside items, for example 10 HDMI cables and 20 batteries with the projectors for an event. You need the View stock permission.

#Steps

  1. Create or edit a booking as usual.

  2. In the Inventory section, click Add stock.

  3. Search for the product, variant or location, and pick the stock you want. Each option shows how many are free.

  4. Enter the quantity, and choose:

    • Book for things that come back, such as cables. The stock is held for the booking's dates and comes back at check-in.

    • Issue for things that get used up, such as batteries. It's taken off on hand at checkout and doesn't come back.

  5. Save the booking.

itemit checks that enough stock is free for the booking's dates, counting other bookings too. If not, the line says how many are free, for example "Only 6 free in these dates", and the booking can't be saved until it's fixed.

#Checking out and checking in

  • At checkout, booked stock shows as Loaned and issued stock leaves on hand.

  • Booked stock comes back in full when the booking is checked in. If the booking has items as well, the stock comes back when the last item is checked in.

  • Issued stock doesn't come back.

  • If check-in approval is on, approving the check-in request also returns the stock.

#Before checkout

  • A booking doesn't change the figures until it's checked out. Before then, the stock still counts as Available, and Reserved doesn't change.

  • If stock that a future booking needs is issued or moved somewhere else first, that booking can't be checked out until there's enough again.

  • Booking requests can't include stock.

  • The bookings list shows each booking's stock in its Inventory column.
