How do I move my existing item quantities into Inventory?

Before the new Inventory, you could give an item a quantity and a unit, for example "Quantity: 3 boxes". The new Inventory replaces that field. The migration turns those quantities into products in one go, so you don't have to type them in again.

#Which items are migrated

Only items that use the old Inventory section on the item profile are migrated: items with a quantity above 0 there. Archived items are skipped.

Nothing else moves. Items with no quantity in that section stay as they are, and so do amounts you've recorded in an item's custom information, such as a quantity field. To track those as stock, add them as products. See "How do I add a product?"

#Who can run it

An Owner or Admin, in the itemit web app. Until it has run, other users who open the Inventory tab see "An admin needs to migrate your inventory first."

#Steps

  1. Open the Inventory tab. The Migrate your inventory screen shows how many items are waiting.

  2. Click Migrate. Keep the page open while it runs, so you can see the results. It usually takes a few minutes.

  3. When it finishes, the Migration complete dialog says how many items migrated, and lists any that couldn't, with a link to each item.

  4. Fix those items, then click Re-run. Items that have already migrated are skipped, so it's always safe to run it again.

While any items are still waiting, Owners and Admins see a banner above the Inventory catalogue saying "Some items are still waiting to migrate", with a Migrate button.

#What each item becomes

On the item

In Inventory

Name

The product's name. Items with the same name become one product.

Serial

A variant of that product, named after the serial. The serial is also the variant's code (SKU).

Unit

The product's unit. Item becomes Each, and other units keep their name, for example BOX.

Quantity, at the item's location

Stock of that variant at that location, recorded as a Receive with the note "Converted from item inventory"

For example, three items called "Hi-vis vest" with the serials HV-01, HV-02 and HV-03 become one product, "Hi-vis vest", with three variants.

If you already have a product with the same name as an item, the item is added to that product as a new variant.

Each item needs a serial, so items without one can't migrate. See "Why didn't some of my items migrate?"

#What happens to my items?

Nothing. They stay in Items exactly as they were, with their tags and history. Each migrated item's Inventory section now says "Stock is managed in Inventory." with a View in Inventory link to its product. The old quantity stays on the item for reference only, and it doesn't change when stock moves, so use the product's figures from now on.

#If the dialog stops early

The migration runs on our servers, so closing the page or losing the dialog doesn't stop it.

It may still be running. Check back in a few minutes before you start it again.

The migration could not start

Try again. If it happens again, contact support.

#Can I undo it?

No, the migration can't be undone. Your items aren't changed, and you can edit or archive any product it created. If you need more than that, contact support and we'll look at it with you.
