How do I record a stock movement?
Written by Alex CY WongLast updated 5 October 2026
Every change to stock is a movement, so the history always explains the figures. To record one, open a product and click Move on a row. The Inventory movement panel opens, with a tab for each type of movement.
Movement | When to use it | What changes |
|---|---|---|
Receive | Stock has arrived, from a delivery or a supplier | On hand goes up |
Issue | Stock is handed over or used on a job, and won't come back | On hand goes down |
Transfer | Stock is moving between two locations, such as restocking a van | It moves from one location to the other. The total stays the same. |
Adjust | A stocktake or a loss means the record is wrong | On hand becomes the figure you counted |
Reserve | Stock needs setting aside for a job or a person before it leaves | Available goes down. On hand stays the same. |
Release | Stock that was set aside is no longer needed | Available goes back up. On hand stays the same. |
There's also a Book tab, which opens the booking form so you can book the stock for set dates.
#Steps
Open the product and click Move on the row for the variant or location.
Choose the type of movement.
Enter the quantity. If the product has a larger unit, such as boxes, you can enter it in that unit instead.
Fill in the rest: who it's for (Issue and Reserve need a person), where it's going (for Transfer), and a note. Adjust always needs a note.
Check the before and after figures, then confirm.
#Rules and tips
You can't issue, reserve or transfer more than is available at that location.
Quantities can have one decimal place, such as 2.5.
Each type of movement has its own permission, so you only see the tabs your role allows.
The product page lists the latest movements under Recent activity. Click View all to see the full Stock history.
A movement can't be edited or undone. To put a mistake right, record the opposite movement, or use Adjust to set the correct figure.
You can record movements in the itemit mobile app too, when you're online.
