What do On hand, Reserved, Loaned and Available mean?

Every product in Inventory shows four figures, on the catalogue, on the product page and for each location.
Figure | What it means |
|---|---|
On hand | Everything you own at that location, whether it's on the shelf, reserved or out on a booking. |
Reserved | Set aside for a job or a person with Reserve, but it hasn't left yet. |
Loaned | Out on a checked-out booking and expected back. |
Available | What's left to use or book: On hand minus Reserved and Loaned. |
So On hand is always Reserved + Loaned + Available. For example, if you have 20 cables, 3 are reserved and 5 are out on a booking, Available is 12.
Hover over a figure on the Inventory catalogue to see it broken down by location.
#Statuses
Each product, and each location it's held at, has a status based on how much is available:
Status | Meaning |
|---|---|
Available | There's enough stock. In the report's status filter this is called In stock. |
Warning | Available is at or below the Warn below level you set. |
Critical | Available is at or below half of the Warn below level. |
Out of stock | Nothing is available. |
If no Warn below level is set, the status is only ever Available or Out of stock. To get Warning and Critical, see "How do I get a warning when stock is running low?"
A product's status comes from its totals across all its locations, so one empty shelf doesn't make the whole product Out of stock while there's plenty elsewhere. The product page still tells you which locations are low.
#Inventory level
The Inventory level bar on the catalogue shows how much of the product's stock is still available, as a share of what's on hand. It turns orange when half or less is available, and red at a quarter or less.
#Unallocated
If you see "( 5 Unallocated )" under a figure, some stock was at a location that has since been archived or deleted. See "What happens to stock when I archive or delete a location?"
